Medication Distrubition System FAQs

Camps Airy & Louise have partnered with Lakeland Pharmacy to ensure safe medication distribution for campers according to national best practices and standards. The dedicated pharmacy line at camp is 201-540-0999.

Q: Why does camp need an outside company to provide camper medications?

A: In today's healthcare environment, there is increasing responsibility associated with dispensing medications. By utilizing the services of an outside company, we not only ensure accountability and safety, but we are assured that all campers will have the medications they need at camp. All that you need to do is have your physician write a prescription for a 30-day supply and send it to Lakeland along with our form, except for CITs who will require a 60-day supply. Your child's medication will be waiting for him or her on arrival day at camp.

Q: Wouldn't it be easier to bring the medication to camp as we have in the past?

A: Actually, by utilizing the services of Lakeland Pharmacy, the process is easier for all of us. It gives you one less item to worry about during the preparation and packing process. It also makes the check-in process go more smoothly and makes the administration of the medications easier for our medical staff. All medications are provided to us in individually dosed packages that are labeled with your child's name, date of birth, name of medication and time and frequency of distribution. This makes it a lot safer and easier for the medical staff to be sure your child gets the proper medication and the correct dose according to the instructions provided by your physician on the original prescription.

Q: How much in advance of camp should we send in the prescription and appropriate documentation?

A: It is recommended that you mail the materials to us at least three weeks prior to your child's arrival date. You will need to provide your insurance information as we participate with all major and most minor carriers.

Q: What is the cost for this program?

A: There is a nominal $9.95 administration fee due to Lakeland Pharmacy to cover costs for packaging and sending the medications to camp. Lakeland Pharmacy will bill your insurance company. You will be responsible for your co-pay, which will be billed to the credit card you provide at registration to take care of the enrollment fee. Medication charges will not appear on your credit card until your child returns from camp.

Q: Will my co-pay be the same from Lakeland Pharmacy as it is from my pharmacy?

A: Once you have submitted your prescriptions to Lakeland Pharmacy, Lakeland will confirm it is a participating provider with your insurance company and that your co-pay will be the same as at home. You will be notified if Lakeland does not participate with your insurance company. You are responsible for contacting your insurance company in advance to be sure all medication and dosages are covered. Please keep in mind that Lakeland does not submit claims to your insurance company until your child arrives at camp so that your refills at home are not affected.

Q: Do I need to have Lakeland Pharmacy provide my child's over-the-counter and PRN medications?

A: All medications and over-the-counter items including vitamins, for instance, need a prescriptive order from your physician to be dispensed to your child at camp. The only exception to this is Lactaid pills which may be brought to camp on the first day. This allows us to ensure that your child is receiving only the medications approved by his physician. It ensures safety and accuracy as all medications are supplied by the same provider.

Q: How does Lakeland charge for over-the-counter medications?

A: Because Lakeland is a national provider who serves many camps, group homes and long-term-care facilities, purchasing of medicines is done in bulk. That keeps prices for medications competitive. You may call Lakeland at 973-347-0068 for pricing information for your child's medications.

Q: How will I know the prescriptions and over-the-counter medications are filled properly?

A: During camp check-in, your child will be examined by one of our camp nurses. While at the infirmary, you will have the opportunity to check all packages to ensure they are properly labeled and dosed for your child. Please make sure to check that the written prescription from your doctor is written correctly to include dose and specify time of day to be administered.

Q: I fill prescriptions through mail order, 90 days at a time. How can the prescriptions be filled if the prescription is mid-cycle during camp?

A: The pharmacy will dispense the medications and send to camp prior to your child's arrival, but will not submit to your insurance company until the day your child begins camp. If needed, the pharmacy will request a vacation override from your insurance company. Occasionally, the pharmacy must wait until the appropriate date to resubmit the claim form.

My child takes a controlled substance, which can only be filled 30 days at a time. How can this be filled if my child will be at camp longer than 30 days?

A: An original prescription is required for each 30-day period for controlled substances. For campers staying longer than 30 days, an additional prescription for a 30-day supply is required. It is against the law for a controlled substance to be refilled. The physician must write two separate 30-day prescriptions and may choose to date them 30 days apart.

Q: What if my child is placed on a prescription or non-prescription daily medication just prior to camp and after all forms have been submitted?

A: Lakeland Pharmacy will always accommodate campers and their pharmacy needs. Please bring a small supply of the medication with you to camp as backup as well as the written prescription from your physician. You may want to call the camp pharmacy prior to your arrival at 201-540-0999.

Q: The medical form is due to camp by May 15. However, my child's physical examination is scheduled for later than that date. How can I be sure he is cleared to attend camp and that his medication will arrive at camp on time?

A: If your appointment is after May 15, mail us all but the physical examination section (page 2) now. After your appointment, send in the examination page filled out by your physician and the medication form and prescriptions (if applicable). Make sure to keep a copy for yourself.
